How Virtual Context handles account data, dashboard data, billing, and support communications.
1. Scope
This policy applies to the hosted Virtual Context website, dashboard, billing flows, and support channels. If you self-host the open source core, data stored in your own infrastructure is governed by your own deployment choices and policies.
2. Information we collect
We collect the information needed to provide the service, including account details such as your email address and authentication provider, subscription and billing records, support communications, and operational logs related to dashboard and API usage. Depending on how you use the service, dashboard data may include request metadata, conversation tags, structured facts, and content you send through the product.
3. How we use information
We use this information to operate and secure the service, authenticate users, provision tenants, process billing, provide support, improve reliability, and investigate abuse or operational failures. We do not sell customer data.
4. Payments
Payments are processed by Stripe. Virtual Context does not store full payment card numbers. Stripe receives the billing information needed to complete your subscription, and its use of that information is governed by Stripe’s own privacy documentation.
5. Cookies and authentication
The website and dashboard use cookies or equivalent session mechanisms to keep you signed in, protect forms, and maintain security state. Disabling these controls may prevent login, billing, or dashboard features from working correctly.
6. Retention
We retain account, billing, support, and operational records for as long as needed to provide the service, enforce our terms, resolve disputes, comply with legal obligations, and maintain service integrity. Self-hosted data retention is controlled by the operator of that deployment.
7. Sharing
We share data only with service providers required to operate the product, such as hosting, payment, authentication, analytics, and support tooling, or when required by law. These providers only receive the information needed for their role.
8. Security
We use reasonable technical and organizational safeguards to protect the service, including access controls, transport security, and operational monitoring. No internet service can guarantee absolute security, so you should avoid placing highly sensitive data into systems that are not configured for that use case.
9. Your choices
You may contact us to request account changes, export or deletion requests where applicable, or questions about how your hosted account data is handled. If you are in a jurisdiction with specific privacy rights, we will work with you to address those requests consistent with applicable law.
